The quote-to-cash automation that runs
in Estonian and gets paid on time.
We built Sõbra Elekter's automation layer. Quote requests come in via web + voice agent, templates pre-fill from job type, scheduling slots the work, invoicing fires when the job closes, käibemaks (22%) is handled correctly. The owner went from running ops in his head to seeing the whole pipeline on one screen. From €1,500/mo.
What the open loop is costing you.
The conservative numbers below are pulled from luup's audit data and published industry research for professional services. Every leaky channel here is a competitor's win.
- · Estonian Chamber of Commerce 2024: small service contractors (1-10 employees) spend 25-30% of owner time on quote follow-up + invoicing admin.
- · EAS / Enterprise Estonia data: median B2B payment in Estonia runs 5-9 days past the 14-day invoice term.
- · luup audit: Sõbra Elekter + 2 Tallinn-area service firms, Q1 2026.
Wired into the tools you already run.
Estonian service firms typically run on Pipedrive + Google Calendar + Maksekeskus for invoicing (or Stripe for EUR-only flow). Voice agent + web form write deals to Pipedrive. Scheduling auto-blocks Google Calendar slots. Maksekeskus issues e-arve compliant invoices on job close. Smart-ID handles client identity verification for higher-value contracts. Make.com glues the thin stack together. Käibemaks 22% baked into every price band.

Quote-to-invoice in Estonian
Quote request comes in via web form or voice agent. Pipedrive deal opens auto-populated from job-type template (electrical install, repair, inspection). Owner reviews + sends with one click. Job scheduled in Calendar. On job close (mobile check-in), Maksekeskus generates the e-arve invoice with käibemaks line, SMS payment link goes to the client.
5 days → 24h quote turnaroundTehnoülevaatus / annual inspection recall
For commercial clients (offices, restaurants, multi-family buildings) with annual electrical inspection requirements, Make scenario tracks expiry dates. 4 weeks pre-expiry, voice agent calls to book the slot. Owner sees a clean 'inspections due this month' Slack post every Monday.
2-3x annual recall booking rateLate-invoice auto-chase
Invoices past the 14-day Estonian B2B standard trigger a polite auto-chase sequence: day-15 SMS reminder in Estonian, day-22 email, day-30 voice agent call asking if there is an issue. Owner only escalates for genuine disputes. DSO (days sales outstanding) drops by ~40%.
Late-invoice rate 30% → 12%Owner ops dashboard
Single screen, pipeline value, scheduled jobs this week, invoices issued + paid + late, on-call rota, Tehnoülevaatus due, replaces the 'owner runs it in his head' problem. Weekly Slack roll-up every Monday morning. Owner stops being the bottleneck.

Sõbra Elekter, quote-to-cash automation for an Estonian electrical contractor
“Quote requests come in via web and voice agent. Templates pre-fill from job type. Scheduling slots the work into Google Calendar. Invoicing fires when the job closes, käibemaks (22%) handled, e-arve issued, payment link sent. The owner went from running ops in his head to seeing the whole pipeline on one screen.”
What it costs, without the dance.
Estonian professional-services automation starts at €1,500/mo single-owner. €2,500/mo with recall + dashboard. €4,000-€5,000/mo for 5-15 employee firms. Setup is €2,500-€5,000. Pricing in EUR, käibemaks (22%) added to invoice. Most Estonian contractors recover the setup in 60-90 days from late-invoice reduction + owner-hour return.
Five things professional services operators ask first.
The questions every professional services prospect asks on the first call. Answers in writing so you can decide before booking.
Does it handle Estonian käibemaks (VAT) correctly?+
Yes. Käibemaks 22% (from January 2024) is baked into every quote, invoice, and payment-link price band. For services where reduced rates apply (specific construction work, books) or for clients with EU VAT-reverse-charge eligibility, the rule logic is configured during week-1 setup. Maksekeskus handles the actual e-arve issuance with the correct VAT lines.
How does Smart-ID integration work?+
For higher-value contracts (€2k+), the agent can require Smart-ID identity verification before dispatch or before signing the contract. Client receives a Smart-ID auth request, confirms with their app, the agent proceeds. Audit trail is logged with the timestamp + Smart-ID transaction ID. Same flow works for ID-card and Mobile-ID.
What about e-arve / e-invoice format compliance?+
Maksekeskus issues e-arve in the Estonian-compliant XML format (Annex 4 of Accounting Act). Invoices go directly to the client's e-arve operator (Telema, Fitek, Omniva). For B2B clients using Estonian state systems (Riigihangete Register), we route through the appropriate operator. luup configures this during week-1 setup.
GDPR compliance for an Estonian service firm?+
Full GDPR. luup operates EU-hosted infrastructure (Frankfurt, Stockholm). Client data flows through Estonian-compliant tools (Pipedrive EU, Maksekeskus, Smart-ID gateway, Twilio EU). Data retention configured per Estonian Data Protection Inspectorate guidance, typically 7 years for invoicing records (Estonian Accounting Act requirement) and 30 days for call recordings unless flagged for dispute resolution.
Does the dashboard work in Estonian language?+
Yes. The owner ops dashboard renders in Estonian (or English, toggle). All KPI labels, Slack roll-up posts, and SMS templates are in Estonian by default. Internal admin (Pipedrive, Make scenarios) stay in English, that is the standard for technical tooling and is not customer-facing.
How much for a small Estonian contractor?+
From €1,500/mo for single-owner contractor (quote-to-cash automation + Pipedrive + Calendar + Maksekeskus invoicing + late-payment auto-chase). €2,500/mo with Tehnoülevaatus recall + owner ops dashboard + multi-employee scheduling. €4,000-€5,000/mo for 5-15 employee firms with more complex job types. Setup is €2,500-€5,000 depending on existing stack depth.
